File Management Guidelines
To ensure smooth collaboration, please follow these submission practices:
- Organise footage and assets in one root folder.
- Use Dropbox, Google Drive, or Send via WeTransfer.
- For large files (over 50 GB), use proxies to reduce upload size.
- Label clips clearly if multiple takes or scenes are involved.
- Provide reference videos or notes, where possible.
Potential Delays – What Can Slow Us Down
Certain issues can impact delivery timelines. To keep your projects running smoothly, please avoid the
following:
- Vague, incomplete, or last-minute briefs – Clear direction leads to faster edits.
- Uploading uncompressed 4K, 6K, or 8K footage without proxies – Heavy files slow download and
workflow.
- Unstructured, excessive, or unclear revision notes – Group your feedback in a single message
when possible.
- Requests for custom subtitles, translations, or captioning – These add time and often require
external tools.
- Extremely long videos or multi-part edits – These naturally take more time and planning.
- Reopening dormant projects after 45+ days of inactivity – Archived files may be deleted for
storage reasons.
- Missing fonts, logos, or brand assets – We may need to pause edits while waiting on essential
files .
- Frequent change in direction or brief mid-project – Redoes delay progress and may require
re-editing from scratch .
- Unlicensed third-party assets provided by the client – We must verify licenses to avoid
copyright issues .
- Back-to-back bulk video submissions without prior notice – These may extend delivery due to
queue stacking.
- Low-quality or poorly recorded footage – We may require clarification or alternate assets to
maintain quality.
- Multiple team members sending conflicting feedback – Consolidated notes from a single POC is
ideal.
